Load-In/Load-Out & Box Shipping
Load-In
For evening events Monday thru Friday Clients may load-in anytime after 8:00 am, as long as Edison Ballroom does not have a Breakfast or Luncheon booked. The earliest a Client can load-in if there is a Breakfast or Luncheon booked is 3:00 PM. The Client has the option to buy-out the daytime spaces prior to it being booked for $7,500.
For evening events on Saturday or Sunday Clients may load-in anytime after 12:00 noon. The cost for anytime earlier than 12:00 noon on Saturday or Sunday is $200 per hour..
Load-In Directions
Edison Ballroom
The 2 black load-in doors Are located 50 feet west of the Main Ballroom entrance: 240 West 47 street Between Broadway & 8th Avenue. NYC 10036. Freight elevator is located behind Main stage to move items up the the second floor.
Edison Rooftop
The Load-in Dock is located At 233 West 46th Street Between Broadway & 8th Avenue. NYC 10036 Load-In through the load-in dock Proceed to the elevator at end of hallway. Take elevator down to level “C” Make right and continue down long hallway Until you reach the Rooftop elevator. To Load-in to South Ballroom press elevator button 2. To Load-in to Edison Rooftop press elevator button 4.
24 Hour Hold
For daytime event load-ins, please select one of the options below:
24 hour hold from 8:00 am the previous day - 8:00 am on event day (next day)
$15,000 plus applicable technician fees.
PM hold from 5:00 pm the previous day - 8:00 am on event day (next day)
$7,500 plus applicable technician fees.
Midnight hold from 11:59 pm the previous day - 8:00 am on event day (next day)
$5,000 plus applicable technician fees.
Daytime events that start at 8:00 or later may load-in for free at 6:00 am.
All holds are subject to availability.
Load-Out
The Client may load-out with no additional costs for 2.5 hours after the event ending time.
After 2.5 hours of load-out time, the cost will be $350 per hour thereafter.
Load-out times are subject to availability and subject to change.
Box Waiver
Box Delivery Instructions
Please ship all boxes and deliveries to Edison Ballroom 240 West 47th Street between Broadway and 8th Avenue NYC, 10036.
Please have all boxes labeled with the name of the event, company name holding the event, and sales person name.
Boxes and deliveries will be accepted for free if they arrive the day of the event.
Boxes and deliveries will be accepted any days prior to the event date for a storage fee of $350.. Please fill out a Box Waiver form for them to be accepted at the load-in dock prior to event date. Your sales person will send you the box waiver to be signed upon request.
Edison Ballroom is not responsible for lost, stolen, or damaged boxes or deliveries.
